The basics
What is a request?
Everything you need from one client right now: “September bank statements”, “Signed contract”, “Draft the menu page”. A client has one open request at a time, and each thing you ask for is added to it, with one conversation. If the client owes it, the assistant asks them for it and follows up until it’s done. Once everything on it is done, the next thing you ask for starts a new request.
What do “Client” and “Me” mean?
Client: the client owes it, so the assistant asks them and follows up. Me: it’s on you, so the assistant doesn’t email anyone about it. It’s just on your list.
What does my client see?
A private page, linked from every email. No login. It lists everything they still owe you across all their requests, with the details and files you added. They can reply, upload files, ask a question or mark something done right there. Open “What … sees” on any request to look at it yourself.
What are “details for the client” and “assistant instructions”?
Details are for the client: they show under the request on their page (format, where to find it, anything they should know). Assistant instructions are private: only your team and the assistant see them, and the assistant never quotes them to the client.
Can I send the client a file?
Yes. On a request, open “Details & files” and attach it (a form to fill in, a contract to sign). The client downloads it from their page.
What the assistant sends, and when
Can I read an email before it goes?
Always. Every request shows the assistant’s next email word for word, with the exact day and time it goes. You can edit it, change the time or send it now. Nothing is hidden.
When does the first email go?
About an hour after you add the request, within your sending hours. One email covers everything that client owes you, so they’re never flooded.
How often does it follow up?
By default the first reminder comes 3 days after the first email, then every 7 days, up to 4 reminders. You can change this for your team, or for one request in its Edit dialog.
What are sending hours?
When the assistant may send on its own: weekdays, 8 AM to 6 PM in your timezone to start. Change the days and hours in Assistant & guardrails, or give one request its own. A time you pick yourself (or “Send now”) always goes exactly then, weekends included.
What’s the difference between Automatic and Review first?
Automatic: scheduled emails go on their own at the time shown. Review first: every email waits for your OK before it goes. This is a setting for your whole team. A one-off email you ask the assistant to write always waits for your OK, in either mode.
What does “Scheduled · sends Mon 9:00 AM” mean?
That email hasn’t gone yet. It will go at that time unless the client sends what you need first, or you change it.
What does “Draft · not sent” mean?
The assistant has written an email that is waiting for you. It won’t go until you press Send now (or Approve). You can edit or discard it instead.
What does “Paused” do?
Nothing goes to the client about that request until you resume it. Other requests and other clients carry on.
Why does one email mention several things?
The assistant groups everything a client owes into one email. If you change that email, or its time, it changes for everything it covers, and it says so.
When the client replies
What happens when a client replies?
The assistant reads the reply, by email or on their page. If it delivers what you asked for, it comes back to you to check. If it’s “I’ll send it Friday”, the request stays with the client and the next reminder waits until then. If it’s a question, the assistant answers from the request’s details, or asks you if it can’t.
What does “Waiting on Maya” mean?
The client still owes it. If they replied without sending it, their reply shows “still needed” so nobody mistakes a reply for done.
What does “reply held for you” mean?
A reply matched one of your guardrails (for example a price or deadline change). The assistant held its answer, and related emails to that client wait until you decide. You’ll find it in Needs you.
Does the assistant check files?
It looks at each file the client sends and marks it “AI check: looks right” or “AI check: problem spotted”. That’s a suggestion; you decide whether the request is done.
When is a request done?
When you tick it off, when the client marks it done on their page, or when a reply clearly settles it and the assistant ticks it off (it says so in the activity, and you can untick it). Each request has a “Done when” line that the assistant uses to judge replies; you can edit it.

What is Needs you?
Everything waiting on you, in one place: decisions, emails to approve, questions the assistant couldn’t answer, files and replies to check, and overdue requests.
What are guardrails?
Situations where the assistant must check with you before replying, in your own words (“asks about price”, “wants to change the deadline”). Set them for your team in Assistant & guardrails, and add or turn them off per request.
Can I talk to the assistant?
Yes. Ask it to change something (“mention phone photos are fine”, “send it Friday at 10”, “pause this one”). That conversation is private to your team. It can rewrite or reschedule an email, change the follow-up plan, pause or mark a request done, but it never sends an email by itself.
What if a client unsubscribes or an email bounces?
Emails to that client stop, and you’re told. You can resume them from the client’s page once it’s sorted.
Will I hear about what happened?
A short morning digest on weekdays when something needs you, plus an email when a client replies or a decision is needed. Turn the digest off in your profile settings.
Why do I need a card before client emails go out?
It keeps the service free of spam, which keeps your emails landing in your clients’ inboxes. You can explore everything before that.
